Position Overview
The NYIC Development & Administration Associate will work closely with the Development Department to provide support with grant management and tracking, online database maintenance, interdepartmental communication, and administrative tasks. The Associate will work closely with program staff to ensure accurate grant tracking and reporting, as well as reporting on contract deliverables. The associate will also provide administrative and technical support for the organization as needed. A successful candidate will have strong attention to detail. Familiarity with development work and  grants management is a strong advantage.
 
Key responsibilities
  • Track all incoming grants and grant-related correspondence
  • Coordinate grant deliverables -- deadlines, requirements, data, key components --  with program staff  
  • Facilitate coordination between Development and Program staff; compile, solicit and organize data for grant writing and reporting
  • Responsible for administrative support and tracking of RSVPs, pledges/payments for Annual Gala and other Development events
  • Maintain detailed records and files
  • Support activities and duties related to the Board and Junior Board, the Young Professionals Leadership Council
  • Compile and generate periodic financial and administrative reports related to grant audits and monitoring
  • Monitor and track information with external accountants and/or third party vendors
  • Provide assistance with grant management and coordination of re-grants to member organizations
  • Assist with drafting grant proposals, correspondence and communication as needed
  • Provide additional support for the NYIC administrative team as necessary
 
Qualifications sought:
  • At least 1-2 years of professional experience is preferred, office experience in a fast paced non-profit preferred, and experience handling sensitive information with discretion is an advantage
  • High level of attention to detail
  • Proficient with MS Office Suite and G-Suite tools; experience working with spreadsheets, databases and tracking systems
  • Ability to juggle multiple tasks while adhering to strict deadlines
  • Experience with [listservs, distribution lists, communication software, social media] and the ability to help provide organizational and technical support with communications-related tasks
  • Proficiency in Spanish, Arabic, Chinese, or another language is a plus
